Role Overview

Time Out Live is the division of Time Out that creates fun and unique experiences across the globe for our readers and clients. From events like Santo António à la Time Out to Uber Eats Battle by Time Out, our job is to dream up amazingly fun things for people to do in their city.

The Events Manager is the go-to individual for event planning, execution, sponsorship implementation and client entertaining. This role must work with the Time Out Portugal team to ensure Time Out is delivering a varied and evolving events schedule, staying ahead of the curve and maintaining Time Out’s reputation as the ultimate guide to the city.

This is a key appointment who will take responsibility alongside the sales team to ensure events are earning revenue (both ticketing and sponsorship) and delivering an engaged audience on behalf of the Time Out brand. Working with the regional Events Director, this role involves taking proactive responsibility for the operational delivery of Time Out Live events.

The successful candidate will work closely with content, sales and marketing staff internally, as well as venue and productions teams externally. They will be part of the Time Out Commercial department and work together to deliver results across the entire Commercial business.

The Event Manager will play a key role in delivering our events, including extensive work at events. In addition to generating direct revenue, it will be necessary to energize client relationships with typically small but effective events, designed to entertain and/or educate partners about the Time Out brand. This role is required to manage these events and other strategic opportunities, as deemed necessary by the company and the line manager to this position.

Key Responsibilities

• To effectively communicate with partners and venues pre and post event
• To undertake the superior level of detail required in the organisation of events including contracting, health and safety and risk assessment
• Prepare internal and external operations communication in the forms of manuals, emails and forms for completion
• To be on site at events and take responsibility for the various aspects of managing the event
• To work within the budget set for individual events for organising spend
• Negotiate and produce contracts for relevant contractors and ensure good service whilst building a good working relationship
• To investigate and co-ordinate logistical arrangements required for a successful event (temp staff, equipment, parking, transport, AV, licenses, signage & branding, floorplans etc.)
• To ensure appropriate branding at all events and to investigate and co-ordinate items related to enhancing the events
• To maintain high levels of customer service and professionalism in all areas of work
• Build a good overall knowledge and understanding of events in the Live portfolio, their operational aims and the relevant market in which they operate
• To maintain high levels of customer service and professionalism in all areas of work
• To ensure that all Health & Safety measurements are in place
• Be responsible for all event supplies and kit
• Keeping up constant communication with the venues from contracts and dates to all onsite logistics
• To prepare a schedule for all teams involved

Skills and Experience

• Passion and knowledge of Lisbon and the local events industry
• 5+yrs experience and a consistent track record in an Event & Conference management
• Request and manage budgets and be able to deliver on ROI goals
• Desired – IOSH trained
• Demonstrated track record of creating and maintaining strong client relationships
• Ability to work in a team environment
• Strong knowledge of and passion for local city culture, arts, entertainment, lifestyles and locations
• Microsoft Office proficient
