Location: Covent Garden, London (hybrid working arrangement – expected to be in the office 2 days per week)

Role Overview

The Paralegal will report to Senior Legal Counsel, Time Out Market, and with a dotted reporting line to the Senior Legal Counsel, Time Out Media. The Paralegal will also work with the rest of the Legal team and directly with the Market and Media teams (globally) where relevant, acting as a point of contact internally and externally to coordinate, assist, draft and support the completion of contracts and to assist with delivering advice and support to the business.

Key Responsibilities

  • Assist with responses to contract and legal advice requests from the business, including monitoring legal email inboxes.
  • Support contract administration requests from the Market and Media Teams.
  • Manage the electronic execution process for all Market and Media contracts.
  • Coordinate and drive the NDA process, from request to execution.
  • Assist Commercial Directors and Senior Legal Counsel, Market, with the preparation of standard form concession agreements with chefs from request to execution. For deals on our standard terms, coordinate and drive the commercial contract process, from request to execution.
  • Support the legal team on data privacy matters, including assisting Legal Counsel with drafting responses to messages in the privacy inbox and DPO inbox.
  • Play an active role in trademark and brand protection, including by preparing template cease and desist letters and follow up correspondence and issuing to infringers, and flagging infringing social media activity via platforms’ formal channels.
  • Coordinate urgent action on copyright infringement claims, including takedown of images from Media and Market sites and data gathering for drafting responses to claims and follow up correspondence with claimants/claimant lawyers.
  • Assist the Legal Team with legal research tasks where necessary.
  • Provide assistance with the initial review of facilities contracts, powers of attorney, and material releases.
  • Assist with the creation and maintenance of corporate policies.
  • Update contract templates upon the Legal Team’s request and update the Legal Drive accordingly, as well as assisting in the creation of a bank of templates.
  • Shadowing on third party agreements, including mark-up and tracking changes.
  • Be a point of contact during negotiation and drafting of all contracts between the legal team and the business.
  • Provide support to administrator and maintain both the Market and Media Legal Drives and GDrives.
  • Assist with training preparation (script, content) and with the delivery itself. Ensure that the training promotes the need for individuals to be accountable for the contract they are engaged with, highlighting that the owner of the project should familiarise themselves with the agreement so the company remains project compliant throughout.

Skills and Experience

  • 4-6 years in a similar role (with a strong focus on contracting process/ contract management or administration).
  • Commercial awareness.
  • Willing to take on responsibility and ownership of tasks.
  • Experience of drafting documents from templates, and negotiating through to execution (with supervision where necessary).
  • Ability to manage a varied and demanding workload.
  • Flexibility with the ability to adapt to different demands on a daily basis.
  • Good organisational and time management skills.
  • Ability to produce accurate work and excellent attention to detail.
  • Ability to work under pressure and meet deadlines.
  • Negotiation and problem-solving skills.
  • Computer and administration skills – previous experience using EchoSign and Microsoft SharePoint beneficial.
  • Real understanding of key issues such as confidentiality and liability.
  • Good working knowledge and understanding of the GDPR regulations is desirable (but not mandatory).
  • LPC qualification (or foreign qualification equivalent)
  • Experience of working on US based projects and with US contracts. would be advantageous but not mandatory.
  • Fluent English language skills.
  • Foreign languages (especially French); desirable but not mandatory.
